What networking opportunities are available?

Conference participants are encouraged to meet new industry representatives and connect with existing contacts during virtual receptions hosted at the end of the day on Tuesday and Wednesday.

  • Participants can connect with others at the event, relay shared experiences or learn from peers.
  • Virtual receptions and the annual awards ceremony are included in the conference registration fee.

What is appropriate conference attire?

Meetings and receptions during the conference are business casual.

What is the voting procedure during FGIA conferences?

AAMA and IGMA standards are developed in response to the needs of our member companies to solve critical issues in the industry. It takes the interest, energy and experience of our members to help support the development of these standards. It is effective collaboration and communication that make us strong, and your vote counts.

Voting During Conferences
Only in-person participants have the opportunity to vote. During in-person conferences, voting is based on badge color which reflects each member company’s Council voting rights.

Only one vote per eligible company membership is accepted per ballot. The member company’s main contact receives notification of all association and Council ballots.

All comments and disapprovals must have an explanation and must be formally addressed and resolved by the committee or task group.

Non-members do not have voting eligibility, and cannot participate in sessions marked as “Members-Only.”

Committee/Task Group Ballot
Members listed on committee and task group rosters are eligible to vote if their company has elected to support the Council under which the committee or task group operates.

Council Ballots
Once the committee or task group has come to a consensus on a draft of the document or project, it will be distributed for Council ballot to the main contact of each member company supporting the Council(s) to which the committee or task group reports.

Where can I find conference materials?

To aid in getting the most out of the conference, materials are available for each meeting to prepare and follow along with the session content. These include the conference schedule, meeting agendas and presentations. You can find these materials here.

How can I connect with FGIA and other members via social media during FGIA conferences?

FGIA members may use the event hashtag (#FGIAconf) during conferences to post interesting information from presenters or share photos of activities with fellow participants.
Staff also live tweets from presentations, which is another way for conference participants (and those unable to attend) to stay engaged.

What is the basic conference procedure?

Conference Schedule

  • All meetings at conferences are open to all registered participants, except Members Only sessions that are open exclusively to FGIA members.
  • Executive Sessions are only open to the FGIA members who serve on that particular committee.

Virtual Conferences

  • Virtual conferences are hosted via GoToMeeting (for committee and task group session) or Zoom. The Zoom guidelines explains more about how to participate and engage in the event.
  • Each registrant receives links for all sessions the week prior to the event.

In-person Conferences

  • The in-person conference schedule is organized in meeting blocks specific to product or material.
    • Meeting blocks are structured by subjects relevant to these products or materials.
  • The schedule may contain seminars, round table discussions and workshops, increasing both networking and engagement opportunities for conference participants.
    • These sessions supplement working meetings with engaging and educational programming.
    • Some sessions may be repeated to allow multiple opportunities for participation.

Attend this session on Tuesday morning to learn more about the conference, important industry updates, relevant sessions and networking opportunities.

Who are Staff Liaisons and what do they do?

Each council, committee and task group is assigned a staff liaison to:

  • Support and attend general meetings
  • Manage agendas and minutes processing
  • Support interim meetings and conference calls
  • Facilitate communication with members and applicable AAMA departments
  • Provide guidance with respect to policies and procedures and leadership succession planning
